
Internet Court Booking System


What is it?
E-Booking Online is a web based court reservation system, that means it can be accessed through a standard web browser from anywhere on the Internet. Courts can be booked by individual members accounts, by front desk staff or using a touch screen monitor in a lobby area.
What are the requirements?
All you need is a standard web browser with an Internet connection. For the club we recommend showing this product off in its full potential by using the specially design touch screen interface. A touch screen computer is not mandatory any basic PC with keyboard and mouse can be used. For recommended systems click here
What will it cost?
For the first 3 months after signing up the costs for this service are on us. After that you will need to sign up for a monthly subscription, prices vary depending on the number of courts and sports you use the system for. Prices start from £20, $33, €20 pcm, for more information on pricing and what is provided click here. These costs can however be offset against our sponsorship opportunities. There are no set up costs, the system has been design for easy set up which you do through a custom web site.
What requirements for users?
Similar to that of the club computer, all remote users require is a basic web browser and an internet connection. We have tested IE 7 & 8, Opera 11.x, Firefox 4.0 and Google Chrome 2.0. Session cookies need to be allowed as does javascript, don't worry if you are not familiar with these terms, they are enabled by default on all browsers!
How reliable is it and how secure is the data?
Our servers run on a guaranteed 99% uptime with a RAID10 Storage system to ensure data is always available. Backups are performed twice daily on the databases, one off-site, and your data is protected by one-way passwords making this a very stable, secure and highly available system. However as this is an Online Internet based system and we cannot guarantee access through your local ISP. We do not share any of your private data with any organisations, we may however use Adminstrators email addresses to update you from time to time on changes to our service.
Do I need a touch screen?
No, any basic computer can be used but we have found that a touch screen in the main lobby area of your club adds the wow factor to the system to impress your members. We also recommend staff have a separate PC to make and change bookings made via the phone.
What notifications are made on booking or changing a court?
When a booking is made the players are checked to see if they have a registered email and wish to receive email notifications, if they are then they will receive email notifications for any bookings or changes to those bookings.
Does the system have any internal billing?
You can configure costs for each court or sport for peak and off peak times, the cost of the courts are displayed when confirming the booking and are given in any email notification. There is also a billing engine so that you can charge online for courts and track payments through members accounts including membership renewals.
Can I access the court booking data through other applications?
The data is held in a SQL database, for a small set up charge read only access can be granted but only through a static IP address, this is for security reasons. Standard database connectors can be used so that the data can be presented in Access or Excel format directly. To request this please log a support call.
Can I upload the user database from my existing records?
The user database can be both loaded and downloaded using CSV (Comma separated Variable) files. This can be generated from Access or Excel with very little modification.
Can the System control my lighting?
Yes, the system can switch on / off lighting and heating systems using your standard electrical cabling system or through wireless transmissions when courts are booked.
How many courts can I configure?
Presently this is unlimited.
How many different sports can I set up?
Currently this is set to a maximum of 5 sports
How do I configure and set up the system?
When you register you will receive an email with two web links. One is for the Admin interface where you set up the name of your club, configure the sports you play the number of courts per court, their start and finish times, upload the membership list, create special events and club rules.
What rules can I set up?
You can configure how far in advance members can book courts, the number of consequative courts they can book, what sports they can book etc., you can also set up privilege levels to give certain access to other features such as cancelling or modifying future or past events etc.
Can a member change their bookings?
Yes, using their unique user id logon, however they are not permitted to change any other bookings
I have lost my password what do I do?
Both the admin and user level web interfaces have a forgotten password link. Fill in your email address and you will be sent an email with instructions for resetting your password. Current passwords cannot be retrieved as they are encrypted with a one way hash. Not even we can read them so please do not ask! This is to ensure that the system is as secure as possible.
What level of support will I get?
The Club admins are permitted to log calls through our support page. All end user issues should be dealt with by the Club Admin.
Can this system integrate into my existing web site?
You can link your Court Booking age to your existing web site, as your page is unique to you, even before login. We may also be able to place links from the court booking system back to your home page if required.
Can I set up repeat or fixed bookings?
Yes, admin levels can make bookings with unrestricted access and make repeat bookings on a daily or weekly basis. For example with one booking you could book Court 2 from 18:00 to 21:00 on every Friday for the next 12 months for a special event such as club night.
Can I identify which courts have been paid for?
Yes, each booking has an associated cost with it and displays through the admin screen whether it has been paid. Furthermore by a simple click on the admin interface the court can be marked as paid.
What is a special Event?
Special Events are bookings that are not normal player bookings. For example team matches, coaching, team training, club night etc. You can configure as many of these as you like and colour code then to your liking so they are easily identifiable.
